Job Details:
1. Document Management & Compliance
• Maintain and control project documentation, ensuring accuracy, completeness, and compliance with company standards.
• Use various cloud-based platforms such as Asite, Aconex, SAP, etc., to upload, organize, and distribute documents.
• Ensure pre-established requirements (e.g., document numbering system, approval signatures) are met throughout the project lifecycle.
• Track and monitor document revisions, approvals, and distributions to ensure timely updates and accessibility.
2. Project Coordination & Support
• Work closely with project managers and engineers to ensure all documentation is correctly logged and accessible.
• Establish and maintain files and computerized indexes for active engineering documents, generating reports as needed.
• Expedite review, signature approval, and release of supplier and internally produced project documents.
• Assist in retrieving essential project documents as required by stakeholders.
3. Training & Confidentiality
• Provide training and support to project team members on document control procedures.
• Ensure confidentiality and security of sensitive documents.
• Implement best practices for document control and industry standards.
Job Requirements:
1. Bachelor’s degree in a related field (preferred but not mandatory).
2. Minimum of 3 years’ experience in document control, preferably within an architectural engineering company.
3. Proficiency in document control software and cloud platforms such as Asite, Aconex, SAP, etc.
4. Strong organizational skills, attention to detail, and ability to manage multiple tasks.
5. Excellent communication and interpersonal skills.
6. Knowledge of document management best practices and industry standards.
7. Familiarity with Electronic Document Management Systems (EDMS), DMCS, and project management workflows.
